Recurring donations
View donors' recurring commitments, follow each pledge's cycle history, and correct a cycle that was matched wrongly.
A recurring commitment is a standing monthly pledge a donor has made — either an auto-charged card subscription or a bank transfer the donor sends each month, citing a reference. The Recurring screen brings every commitment together so you can see who has pledged, how much they give each month, when their next cycle is due, and which months have actually been received. This article covers reading the list, opening a single pledge to follow its cycle history, and the three corrections you can make when a month was matched to the wrong donation.
Who can do this. Viewing the recurring list and a pledge's cycle history needs a finance role that grants read — typically the Accountant, Finance Manager, Auditor or the CEO. Correcting a cycle (unmatch, correct amount, attribute income) needs the higher finance approve permission — held by the Finance Manager and the CEO. Where to find it. Donors → Recurring.
Pausing, resuming, cancelling a pledge, or uploading a transfer receipt are things the donor does in their own portal account on your website — they aren't actions you take from the dashboard. Recording the bank transfers donors actually send is done on the Reconcile screen; see Bank-transfer donations.
Reading the recurring list
The list shows one row per commitment, with the reference (the REC-… code a bank-transfer donor cites), the donor, the cause the pledge funds, the amount per month, the status, the next due date, how many cycles have been paid, and the lifetime total received against the pledge.
Amounts are shown in Omani Rial to three decimal places — for example, 20.000 a month.
Each status carries a coloured badge:
- Active — the pledge is running and on schedule.
- Paused — the donor has paused it from their portal.
- Action needed (at risk) — recent transfers haven't been matched, so the pledge has missed cycles. The donor is prompted to transfer again, citing their reference, which revives it.
- Ended — the pledge has finished or been cancelled.
Use the controls along the top to find a pledge:
Search
Type into the box labelled Search donor or reference… to narrow the list to a particular donor or REC-… reference. The list updates a moment after you stop typing.
Filter by status
The status selector limits the list to Active, Paused, Action needed, Ended, or All statuses (the default).
Sort
The Sort control reorders by Next due, Amount, Status, Reference, Donor, or Missed count, ascending or descending. It opens sorted by next due date, soonest first — a useful way to see what's coming up.
The list shows 50 commitments at a time; page controls appear at the bottom when there are more. Selecting any row opens that pledge's detail.
Following a pledge's cycle history
Open a commitment to see its full picture: the donor and status, the amount per month, the cause, when it started, the next due date, the current missed streak, the cycles paid, and the donor's stated intention if they gave one.
Below that sits the Cycle history — a timeline with one entry per month from the pledge's start. Each entry is marked:
- Paid (green) — a donation was received and matched to that month. The entry shows the amount, a View donation link into the income ledger, and the date it was recorded.
- Missed (red) — no donation was matched to that month.
- Upcoming (blue) — a future month not yet due.
- Overdue — a month that is now due but still unpaid.
Where a paid month's amount differs from the pledged amount, the entry shows the difference (for example, +5.000 vs pledged). A month matched by hand rather than automatically carries a small Manual tag.
Months while a pledge was paused may still appear as missed in the timeline — pause history isn't recorded, so the timeline can't tell a paused month from a genuinely missed one. The note beneath the timeline reminds you of this.
Correcting a cycle
Reconciliation isn't always perfect — a transfer might be matched to the wrong donor, recorded at the wrong amount, or a month might stay marked missed even though the income did arrive (just unlinked). The cycle corrections fix these without ever deleting a ledger entry: every correction reverses the original donation with a balancing entry and, where needed, records a fresh one. Nothing is erased, so your books stay auditable.
These three actions move money in the general ledger. They appear only if your role grants finance approve (Finance Manager or CEO). They take effect immediately and adjust your fund balances — there's no separate undo, so check you have the right cycle and the right donor before you confirm.
Unmatch a cycle
Use this when a month was matched to the wrong donation, or you simply need to reopen it. Unmatching reverses that cycle's donation and rolls the schedule back so the month reads as open again.
Find the paid cycle
In the Cycle history, find the paid month you want to undo. Select Unmatch beside it.
Confirm
A dialog explains that the cycle's donation will be reversed and the month reopened. Select Confirm. The donation is reversed in the ledger and the month returns to missed/overdue so it can be matched again.
Correct a cycle amount
Use this when the right donor's cycle was recorded at the wrong amount — for example, the donor gave 25.000 but it was entered as 20.000. This reverses the original and re-records the same month at the corrected figure in one step.
Open the correction
Beside the paid cycle, select Correct amount.
Enter the corrected amount
The box opens pre-filled with the current amount in Rial. Type the correct amount (up to three decimals, for example 25.000). Confirm is enabled once you've entered a valid, different amount.
Confirm
Select Confirm. The original donation is reversed and a fresh donation is recorded for the same month at the new amount. The timeline updates and the fund balances adjust accordingly.
Attribute existing income to a cycle
Use this when a month shows missed, but the donor's money actually did arrive — it was recorded as a general income that was never linked to the pledge. Attributing links that existing donation to the missed month and advances the schedule, without re-booking the money.
Open the attribution
Find the missed month in the timeline and select Attribute income.
Pick the income to link
A dialog lists unlinked, posted income. Search by reference or source to find the right one, then select it. Each entry shows its reference, date, amount, category and source.
Check the category warning, then confirm
If the income's income category differs from the pledge's cause, an amber note warns you it will be linked as-is (not re-booked into the pledge's category). Decide whether that's acceptable, then select Confirm. The month becomes paid and the schedule moves forward.
Only posted income that isn't already linked to a pledge can be attributed, and a month can hold only one donation — if the slot is already filled you'll be told the cycle is already fulfilled. Attribution links the money as you recorded it; it doesn't move it between income categories.
A pledge that has ended or is at risk can't receive a correction or attribution — only active and paused pledges can. If a correction is refused, check the pledge's status at the top of the detail page.
