Donor profiles

Open one donor to see their lifetime giving, donation history with receipts, annual statement, tags, gifts, referrals, recurring commitments, and saved cards — and learn how bank transfers are attributed to them.

A donor profile is the single page that gathers everything your organisation knows about one supporter — what they've given, the causes they care about, the receipts they've had, any recurring commitment, and the notes your team has left. You'd open it whenever you want the full picture of one person: to answer a question they've raised, to send a thank-you, to print their annual statement, or to tidy up their tags.

You reach a profile from the donor database by clicking a donor's name. The page opens on a header of summary figures, with the detail split across tabs underneath.

Who can do this. You need a role that grants donor read — typically the Donor Viewer, Donor Editor, or Donor Manager (a Finance Manager, CEO, owner, or admin can open profiles too). Some parts are gated further: contact details, saved cards, and the contact menu need donor readPII (Donor Editor and above); editing tags or adding notes needs donor update; merging and anonymising need donor delete. Where to find it. Donors → (a donor's name).

The summary header

The top of every profile is a fixed summary you can read at a glance:

  • The donor's name, with badges where they apply — Anonymous (the donor asked not to be named publicly), Portal account (they've signed in to the donor portal), Major donor, and Lapsed (these last two follow the thresholds you set under Tags & segments).
  • A "donor since" date.
  • Six summary cards: Lifetime giving (the total of every confirmed donation, in OMR to three decimals), number of gifts, causes supported, first gift date, last gift date, and the count of active recurring commitments.

The summary counts only confirmed donations — pending or rejected entries are left out, so the lifetime figure always matches money your organisation has actually recognised.

To the side of the header sit two menus, each shown only if your role allows it:

  • Contact — send a one-off thank-you by email or WhatsApp. WhatsApp appears only when your organisation has a connected WhatsApp number and the donor has opted in.
  • Manage — merge this donor into another, or anonymise them. Both are covered in Merging & anonymising donors.

The tabs

Overview

The default tab. It shows the donor's contact card — email, phone, and their notification preferences (email, WhatsApp, and Zakat reminders, each shown as on or off) — followed by their tags and their portal account status.

The contact card is only visible to roles with donor readPII. If your role can read donors but not their personal details, you'll see a short "hidden" note here instead of the email and phone — that's by design, not a fault.

Tags

Tags live inside the Overview tab. They're free-form labels — board contact, major prospect, event volunteer — you attach to group and find donors later.

If your role grants donor update, you can add a tag from the picker (it lists the tags your organisation has already created), create a brand-new tag inline, or remove an assigned tag with the × on its chip. Without update you can see the tags but not change them. Tags are explained in full under Tags & segments.

Giving

The donor's full donation history — one row per confirmed donation, showing the reference, date, amount in OMR, channel, the causes it funded, and a status badge. Long histories are paged.

This tab is also where you handle receipts and the annual statement:

  • Resend a receipt — each row carries a Resend receipt button (shown only if you can contact the donor and they have an email on file). It re-sends the bilingual receipt for that one donation to the donor.
  • Download the annual statement — see the next step.
  • View in ledger — if you also hold a finance read role, a link takes you to the income ledger filtered to this donor, so you can see the full accounting entry behind each gift.

Annual statement

At the top of the Giving tab is a year selector and a Download button. Pick a specific year — or All years — and download a printable, bilingual giving statement for that period. It lists each donation's date, cause, amount, and reference, with a total, and carries your organisation's letterhead, ready to give to the donor for their records.

The statement is generated fresh each time from the same confirmed donations shown in the history, so it always matches the ledger. Donors covering Zakat especially tend to ask for these. There's more in Annual giving statements.

Gifts

Donations this donor made on behalf of someone else — a gift in another person's name. Each row shows the recipient, the cause, the amount, the gift message, whether the gift notification has been delivered, and a button to copy the gift's shareable link. Recipient contact details appear only to roles with donor readPII.

Referrals

If this donor has a referral code or runs a personal fundraising link, this tab shows it — the code and a copyable share link, how many donors they've referred and how much they've raised, the donations their link drove, and the performance of each fundraiser link (views, raised, and goal).

Recurring

The donor's recurring commitments — one row each, showing the reference, amount, cadence (for example monthly), status (Active, Paused, or At risk), the next due date, the payment method, and the project it funds. Managing these is covered in Recurring donations.

Payment methods

Any saved cards the donor has stored through the donor portal, shown as the card brand, the last four digits, and the expiry, with the default card marked. WAQAF never stores or shows full card numbers. This tab is only populated for roles with donor readPII.

Notes

A timeline of notes and activity for the donor. If your role grants donor update, you can type a note (up to 2,000 characters) and post it; everyone with profile access can read the timeline. Notes are dated and attributed to whoever wrote them, which makes the profile a shared record your whole team can rely on.

How bank transfers reach a donor's profile

When a supporter pays by bank transfer through one of your public donation pages, WAQAF can attribute that transfer to a donor automatically so it lands on their profile — but only once your team has confirmed it. Two pieces of setup control this, and both live under Donor settings, not on the profile page:

  • Bank accounts shown for transfers — which of your organisation's bank accounts appear to supporters on the public transfer screen. You turn each account on or off there.
  • Online posting rules — the default settlement bank account and charity member used when an online bank-transfer donation is approved and posted to the ledger.

Incoming transfers don't post themselves. They arrive in the bank-transfer review queue, where a finance user opens each one, checks it against the donor it's linked to (re-attributing to a different donor if needed), and approves it. Only then is the donation confirmed, posted to the ledger, and shown in the donor's Giving tab.

Changing which accounts appear for transfers, or the posting rules, needs a finance role that grants update (typically the Finance Manager). The review-and-approve step is part of the donations workflow — see Bank-transfer donations.

Everything money-related on a profile is read-only here — the figures, history, and statement reflect the ledger; you don't edit donations from this page. A donation recorded in error is fixed with a reversing entry in Finance, never deleted, so the audit trail stays intact. The header's lifetime total updates once that correction posts.
