The reports centre
Build custom financial reports — group by category, fund, country, member and more — filter, chart, save them, and reuse them as dashboard widgets.
The reports centre is where your organisation's income and expense activity becomes a report you can read, chart, print and share. You'll come here to answer a specific question — how much did we spend per country this quarter?, what came in by category this year?, which member brought in the most income? — by choosing how to slice the numbers. There's a quick Overview for the headline figures, a set of ready-made Default reports for the common questions, and a builder for anything bespoke. Reports you build can be saved and even pinned to your dashboard as a widget.
Who can do this. You need a finance role that grants read — the Accountant, Finance Manager, Auditor and CEO all have it. Reports show period activity (income and expense over a date range), which any finance role may see. Sharing a saved report with the whole organisation needs the update permission, held by the Accountant and Finance Manager. The Movements views (Financial movement and Bank account movements) show running balances, so they appear only if your role is allowed to see balances — typically the Finance Manager, CEO and Auditor. How the screen is laid out
A list of sections runs down the side, and the report you pick opens beside it. The side list is grouped:
- Overview — a ready-made summary of fund balances, the statement of activities, and income and expense by main category, for a period you choose. This is the fastest way to see where you stand.
- Movements — Financial movement, Bank account movements and General ledger. The first two show running balances and appear only for roles allowed to see them; the General ledger is always available. These have their own article — see Movement views.
- Default reports — fourteen ready-made reports for the questions organisations ask most (for example Categories × Countries, Income per member, Expenses by label). Pick one to open it; you can adjust it and save your own copy.
- My reports and Shared with organisation — reports you've saved, and reports colleagues have shared org-wide.
- New report — start a blank report in the builder.
Building a report
Open New report (or any default report you'd like to adapt). The builder is a row of choices across the top; the report below updates as you change them. Nothing here changes your data — a report only reads it — so you can experiment freely.
Choose the data
Set Data to Income or Expense. This decides which records the report draws from and which of the later options are available — for example Member applies to income, while Expense label, City and Payment method apply to expenses.
Choose how to group it
Group by sets the rows of your report — one row per value of that dimension. You can group by Category, Main category, Fund, Shari'a class, Country, Bank account, Month, Quarter or Year, plus Channel and Member for income, or City, Payment method, Expense label and Expense sub-label for expenses.
Add a pivot or sections (optional)
Pivot by turns the report into a two-dimensional table — your rows down the side, a second dimension across the top (this is what Categories × Countries does). Section by instead splits the report into separate blocks, one per value, each with its own subtotal. Leave either on No pivot / No sections for a simple list.
Pick the measure
Measure is what each cell counts. For income you can show Net, Gross or Count; for expenses, Amount or Count. Net and Gross differ by any admin fee deducted; Count is simply how many records fall in each group, not a money figure.
Choose the chart and period
Chart picks how the report is drawn — Bar, Pie, Line, Table or Pivot table. For the chart types you can also turn Data labels and the Legend on or off. Period bounds the report by date: This month, This quarter, This year, All time, or a Custom range with From and To dates.
Money is shown in Omani Rials to three decimals — for example 200.000. One Rial is 1,000
baisa, so the third decimal carries real value: 0.500 is half a Rial. The Sort rows control
reorders the rows on screen (by label or by value, ascending or descending) for easier reading; it
doesn't change the totals.
Filtering
Below the builder's main options is a row of filters. Each narrows the report to the records you care about, and each is a simple dropdown that starts at Any:
- Main category and Country apply to both income and expense.
- For income, you also get Channel (how the money arrived) and Member.
- For expense, you get Payment method and, when your organisation uses them, Expense label.
- Bank account and Shari'a class apply to both.
Set as many as you like; the report recalculates each time. Set a filter back to Any to clear it.
A report that would read a very large set of records is capped for safety at the first 50,000 matching rows. If a report hits that cap, a yellow banner appears telling you the total may be incomplete — narrow the period or add filters so the figure is trustworthy. For a guaranteed-complete balance figure, use the Movement views instead.
Saving a report
Once a report says what you want, save it so you don't have to rebuild it.
Open the save dialog
Click Save as… on the trailing side of the filter row (it reads Save once a report is already saved). The Save report dialog opens.
Name it
Type a clear Report name — for example Q1 expenses by country. The name is how the report appears in the side list and on its printout, so make it descriptive.
Share it (optional)
If your role allows sharing, tick Share with the whole organisation to make the report available to every finance colleague under Shared with organisation. Leave it unticked to keep the report under My reports, visible only to you.
Save
Click Save. The report joins the side list. To delete one of your saved reports later, hover its entry in the list and use the bin icon.
Saving stores the recipe — the data source, grouping, filters, chart and period — not a frozen snapshot of the numbers. Each time you open a saved report it re-runs against your current data, so it's always up to date.
Reusing a report on your dashboard
A saved report can be pinned to your home dashboard as a widget, so the figures you check often are waiting for you when you log in. You add it from the dashboard, not from here: open the dashboard's Add widget panel and choose your saved report. The widget shows the same report in a compact form, and you can give it its own period. If the underlying saved report is later deleted, the widget shows an unavailable note rather than stale numbers. See Customising your dashboard for the full steps.
Printing and exporting
Every report can be exported to a spreadsheet or printed on your organisation's letterhead, with a per-document language toggle. The buttons sit in the report's own toolbar (CSV and Print / save PDF). This is covered in its own article — see Exporting & printing reports.
