Exporting & printing reports
Download any report as a CSV spreadsheet, or print it as a letterhead document with charts, signatures and page numbers.
Once you have a report on screen — a default report, a movement view, or one you built yourself — you can take it out of WAQAF in two ways. CSV gives you a spreadsheet you can open in Excel and work with further. Print / save PDF turns the report into a finished document on your organisation's letterhead, complete with its chart, signature lines and page numbers, ready to file or hand to a board. You'd reach for CSV when you want to keep analysing the numbers, and for printing when you want something formal to keep or share.
Who can do this. Both buttons live inside the reports centre, which any finance role can open — Accountant, Finance Manager, Auditor or CEO, and the organisation's Owner or Admin. Exporting is part of the finance toolkit (the export permission belongs to all four finance roles), so if you can see a report, you can export or print it. The movement views that show running balances only appear for roles allowed to see balances; see Movement views. If you don't see Finance at all, your role doesn't include it; see Members & roles.
Where to find it. Finance → Reports. Open any report from the left-hand rail — the export controls sit in the top-right corner of each report card.
Downloading a CSV spreadsheet
Every report card has a small CSV button with a download icon. It saves the report exactly as you see it — the same rows, the same totals — as a spreadsheet file on your computer.
Open the report you want
In Finance → Reports, pick a report from the left rail: a default report, the Financial movement, Bank account movements or General ledger views, or one of your own saved reports. Set the period and any filters first, so the figures on screen are the ones you want to export.
Click CSV
The CSV button sits in the top-right of the report card. The file downloads straight away — there is no dialog. It carries the same column headings and the total (or sub-totals) shown on screen.
Open it in your spreadsheet program
The file is named after the report (for example fund-balances.csv or
financial-movement.csv) and lands in your usual downloads folder. Open it in Excel,
Numbers or Google Sheets. Amounts come through formatted in Omani rial to three decimal
places, just as they appear in WAQAF — 200.000, 12.500.
The file is prepared so that Excel reads Arabic text and the rial figures correctly, without garbled characters. If a report has nothing in the chosen period, the CSV button is greyed out — there is nothing to export.
Printing a report as a letterhead document
The Print / save PDF button is for when you want a finished, presentable document. It places the report on your organisation's letterhead — the same masthead, contact details and bank-account band used on receipts and vouchers — adds the report's chart and signature lines, and numbers every page. From the print window you can send it to a printer or save it as a PDF.
Printing is available on the Overview report and on reports you build with the report builder. The three movement views (Financial movement, Bank account movements, General ledger) offer CSV only — there is no Print button on them.
Open the report and set its period
Open the report you want from the rail and choose the period — This month, This quarter, This year, All time or a Custom range. The printed document shows this period in its heading, so set it before you print.
Choose the document language
Next to the Print button is a small two-button switch: English and العربية. This sets the language of the printed document only — your on-screen tables stay in the language you're using WAQAF in. Pick the language the recipient needs.
Click Print / save PDF
The button has a printer icon. It opens a new window showing the report laid out on your letterhead at A4 size. This includes:
- your organisation's logo, legal name and contact details across the top;
- the report's chart, where the report has one (bar, pie or line);
- the report tables, with their sub-totals and a grand total;
- two signature lines — Finance Manager and CEO — filled with your designated signatories' names;
- a page X of Y number in the bottom margin of every page.
Print or save as PDF
Use your browser's print dialog from the new window. To keep a copy, choose Save as PDF as the destination instead of a printer. Close the window when you're done.
The Print button stays disabled until the report has finished loading and the letterhead is ready, and it is greyed out when there is no data for the chosen period. If it won't respond, give the report a moment to load, or check that the period actually contains some entries.
The signatory names come from the people your organisation has designated as the official Finance Manager and CEO signatories. If a signature line prints blank, no one has been designated yet — set them up under Documents & printing.
A note on completeness
The General ledger view is paged and, on very large date ranges, shows a banner that it is displaying only the first 50,000 matching rows. If you see that banner, a CSV of that view captures what's shown, not necessarily every line — narrow the period or the filters first so your export is complete. The summary reports (fund balances, statement of activities, by-category) total the whole period and aren't affected.
Exporting and printing only ever read your figures — they never change a balance or touch the ledger. You can export the same report as often as you like.
