Charity members
Keep the list of charity members — the income sources you choose from when recording income — and add, edit, or retire them.
A charity member is a person or income source on your members list — the names you choose from in the Member (income source) field when you record income. Keeping this list tidy means that, when an accountant records a gift handed in by a member, they can pick the right name from a dropdown instead of typing it freshly each time. This page is where you add new members, correct their details, and retire the ones you no longer use.
These charity members are not the same thing as the people who can log in to WAQAF. A charity member is simply a name (and optional contact details) attached to income; it has no password, no role, and no access to the dashboard. The staff and administrators who actually sign in are managed separately — see Members & roles.
Who can do this. Anyone with a finance role that can read can open this tab and see the list — that includes the Accountant, Finance Manager, Auditor, and CEO. To add or edit a member you need a finance role that grants create or update — typically the Accountant or Finance Manager. The Auditor and CEO can view the list but won't see the New member or Edit buttons. If you don't see this, your role doesn't allow it; see Members & roles.

How members are used
When someone records income, the form offers a Member (income source) dropdown. It lists every active charity member, with an inline Add new member option at the bottom so a recorder never has to leave the form to add a missing name. The member you pick is stored on that income entry, so you can later filter and report income by who it came from.
Each member shows in the language you're using the dashboard in: the Arabic name appears when you're in Arabic, the English name when you're in English, falling back to whichever name is set so a row is never blank.
Choosing a member is optional on the income form — not every gift comes through a named member, and the dropdown has a — None — row to clear it. The member list is there to make recording faster and reporting richer, not to force a choice.
Add a member
You can add a member here in Settings, or inline from the income form while recording — both create the same kind of record.
Open the Members tab
Go to Finance → Settings and choose Members from the settings menu on the side. You'll see a table of everyone already on the list, with their name, phone, and an Active or Inactive status badge.
Click New member
Click New member at the top of the table. A dialog opens with the member's details.
Fill in the name and any details
Enter the member's Name (English), Name (Arabic), or both. At least one name is required — the Save button stays disabled until you've typed one. The Phone, Email, and Country fields are all optional; leave them blank if you don't have them.
Save
Click Save. The new member is added to the list and is immediately available in the income form's member dropdown. New members start as Active.
Adding a member while recording income. In the Member (income source) dropdown on the income form, choose + Add new member, type the name, and click Add. The member is created and selected for you straight away, so you can carry on recording without losing your place. (This quick add captures only the name; you can fill in phone, email, and country later from this Settings tab.)
Edit a member
Find the member and click Edit
In the Members table, click Edit on the row you want to change. The same dialog opens, pre-filled with that member's details.
Change the details
Update the English or Arabic name, phone, email, or country. The same rule applies: at least one name must remain.
Save
Click Save. Your changes apply everywhere the member is shown, including the income form's dropdown.
Retire a member you no longer use
There's no "delete" for charity members — and that's deliberate. A member may already be attached to income entries you've recorded, and those entries must keep their history intact. Instead of deleting, you mark a member as inactive.
Edit the member
Click Edit on the member's row to open the dialog.
Uncheck Active
In the edit dialog you'll see an Active (available as an income source) checkbox. Untick it.
Save
Click Save. The member's badge changes to Inactive and they no longer appear in the income form's dropdown — but they stay on this list (showing both active and inactive members) so you can bring them back at any time by re-ticking Active.
Marking a member inactive does not change any income already recorded against them. Past entries keep the member they were saved with — making a member inactive only stops them appearing as a choice for new income.
