Changing your plan

How to upgrade, downgrade, or switch billing frequency for your organisation's WAQAF plan, and what changing a plan affects.

Your plan decides which paid WAQAF features your organisation can use and how you're billed for them. When your charity grows, takes on a new tool, or simply wants to pay yearly instead of monthly, you'll want to move to a different plan. This page walks you through doing that from the dashboard — picking a new plan, choosing how often you pay, and understanding what the change affects.

There are two everyday tasks here, and they live in slightly different places:

  • Moving to a different plan (for example, stepping up to a higher tier) is done from the Billing settings, by choosing a new plan card.
  • Adjusting or cancelling a subscription you already have — changing the card on file, switching frequency on an existing subscription, or cancelling — is done through the secure billing portal, reached by the Manage billing button.

Who can do this. Changing the plan is an owner/admin-level action. Starting a new plan (the Choose plan button) needs the billing permission to manage — which the Owner and Org Admin roles hold. Opening the Manage billing portal for an existing organisation subscription is reserved for the Owner specifically. If you only need to see the current plan, the billing read permission is enough. Where to find it. Settings → Billing. The page shows Your plan at the top (when one is active) and a Change your plan section with the available plan cards below it.

Before you change anything

A couple of things are worth knowing, because they shape what you'll see:

  • The plan you're on doesn't appear in the list. The Change your plan section only shows plans you can move to — your current plan is hidden, so every card on screen is a genuine switch.
  • Billing frequency is a separate choice. Subscription plans offer Monthly and Yearly billing. A Monthly / Yearly toggle sits above the plan cards; the price on each card updates to match the frequency you've picked. One-off plans (a one-time purchase rather than a subscription) ignore this toggle.
  • Payment happens on a secure checkout page. When you choose a plan, WAQAF hands you to a hosted, secure payment page to enter card details. WAQAF never sees or stores your card number.

Upgrading or switching to a different plan

Open Billing settings

From the dashboard, go to Settings → Billing. If your organisation already has a plan, you'll see it under Your plan, with its features listed and a status badge (for example Active or Trialing).

Choose how often you want to pay

If the plans you can move to include subscriptions, you'll see a Monthly / Yearly toggle above the cards. Pick the frequency you want first — the price on each card updates to reflect it. (If you're moving to a one-off plan, there's no toggle to set.)

Pick the plan you want

Each plan card shows its name, what it includes, and its price for the frequency you chose. The plan WAQAF suggests carries a Recommended badge. Read the feature list, then click Choose plan on the card you want.

Complete payment on the secure checkout

WAQAF sends you to a secure, hosted checkout page to confirm the plan and enter your payment details. Some plans include a free trial — if so, the card and the checkout page say so, and you won't be charged until the trial ends.

Wait for confirmation

After you pay, you're returned to WAQAF on a brief "Confirming your purchase, please wait…" screen while the payment is verified. Once it's confirmed, you're taken back into the dashboard and your new plan's features are switched on. Don't close the tab during this step.

If confirmation takes a little while, that's normal — WAQAF waits for the payment provider to confirm before activating the plan. If it can't confirm within a short window, you'll be returned to the plan-selection screen so you can try again; no plan is activated unless the payment actually succeeds.

Downgrading, switching frequency, or cancelling an existing subscription

If your organisation already has an active subscription, the cleanest way to change it — move to a cheaper tier, switch from monthly to yearly, update the card on file, or cancel — is through the secure billing portal, not by buying a fresh plan.

Open Billing settings

Go to Settings → Billing. Your current plan appears under Your plan.

Click "Manage billing"

On the Your plan card, click Manage billing. WAQAF opens the payment provider's secure billing portal for your organisation's subscription.

Make your change in the portal

In the portal you can update the saved payment method, change the subscription, see upcoming charges, and cancel if you need to. When you're finished, the portal returns you to WAQAF.

Cancelling stops the subscription, not your data. Cancelling ends future billing and, when the period closes, removes access to the paid features tied to that plan. It does not delete your organisation, members, donors, or financial records — those stay exactly as they are. To re-enable the features later, simply choose a plan again.

What changing your plan affects

Your plan controls which paid features your organisation can use — these are your entitlements. When a new plan activates, the features it includes turn on; when you move to a plan that doesn't include something, that feature is no longer available. Nothing you've already created is deleted by a plan change: your members, donors, donations, expenses, funds, and the rest of your financial ledger are part of your organisation's data, not the plan, and they remain intact.

A plan change does not alter your money records. WAQAF's ledger is never edited or wiped by billing — amounts stay in OMR to three decimals (for example, 200.000), and any correction to a financial entry is always made by a separate reversing entry, never by changing or removing the original. Billing simply governs access to features, separately from the accounting itself.

A few practical notes

  • One plan per organisation. Billing is attached to the organisation, so a plan change applies to the whole organisation, not to one person. If you belong to more than one organisation, switch into the right one before changing its plan.
  • Switching is immediate at checkout, but access follows payment. Your new features appear once the payment is confirmed on the return screen — not the instant you click Choose plan.
  • Keep your invoices. Every charge produces a record you can review later — see Invoices & payment history.
