Donor settings
Configure the donor module — public bank accounts, online posting rules, AI bank-statement extraction, and donor segments.
The donor module has its own settings page where you tune how the donor and reconciliation tools behave for your organisation. This is where you choose which bank accounts donors see, set the defaults applied to website card donations, connect the AI that reads PDF bank statements, and set the thresholds that decide who counts as a major or lapsed donor. You'll usually visit this page once during setup and then only return when something changes — a new bank account, a different giving threshold, or to turn AI extraction on.
Who can do this. You need a finance role that grants read to open the page — typically the Accountant, Finance Manager, Auditor, or CEO. To save changes you need finance update, which the Accountant and Finance Manager have. If you can open the page but every control is greyed out, your role can read but not change these settings; see Members & roles.
Where to find it. Donors → Settings. The page opens on the first section and keeps a small menu down the side so you can switch between the four areas without leaving the page.
The four settings sections
Bank accounts
Choose which of your active bank accounts donors see on the public transfer widget on your website. Each account has a switch — turn it on to show it, off to hide it. This only controls what donors see; it doesn't change anything in your books.
Posting rules
Set the defaults applied to website card donations when they're confirmed: which bank account the money settles into, and which charity member is recorded as the income source. These defaults save you from picking them by hand on every online gift.
AI extraction
Connect an AI key so the system can read PDF bank statements into transaction rows for you. This is covered in detail below.
Donor segments
Set the thresholds used to work out who is a major donor (the giving amount in OMR that qualifies someone) and who is lapsed (how many months without a gift). These thresholds feed the segment labels you'll see across the donor database.
AI bank-statement extraction
Many banks only give you a PDF statement, which is slow to type in by hand. With AI extraction switched on, you can upload a PDF on the reconciliation page and the system uses Claude (from Anthropic) to read the transaction rows for you to check before importing. To use it you supply your organisation's own Anthropic API key and turn the feature on.
The AI key is yours, not WAQAF's — extraction runs against your own Anthropic account, so usage is billed to that account. Keep the key somewhere safe: once you save it, WAQAF stores it encrypted and never shows it to you again.
Open the AI extraction section
Go to Donors → Settings and choose AI extraction from the side menu.
Paste your Anthropic API key
In the Anthropic API key field, paste your key (it begins sk-ant-…). If a key
is already saved you'll see a masked placeholder instead — leave the field blank to
keep the saved key, or type a new key to replace it.
Turn the feature on
Switch Enable AI extraction on. You can't enable it without a key — if you try, you'll be told to enter an API key first.
Save
Select Save. You'll see a confirmation, and the key field clears for safety — the key is now stored encrypted.
Once this is on, the PDF upload appears on the reconciliation page (Donors → Reconcile). Anyone with finance create — the Accountant or Finance Manager — can upload a statement there. The AI fills a table you review and correct before anything is imported, so a misread figure never reaches your books unchecked. See Bank-transfer donations.
If staff see "AI extraction is not enabled" on the reconcile page, the feature is off here — turn it on. If they see "the saved AI key could not be read", the stored key can no longer be decrypted; come back here and re-enter it.
Importing a statement: column mapping
When you import a CSV or spreadsheet bank statement (rather than a PDF), there's no AI step — instead you tell WAQAF which column holds what. This mapping lives on the reconciliation page, not on the settings page, because you choose it each time you import a file.
After you pick a file, WAQAF reads its column headings and shows a small Map columns form. It makes a best-effort guess for each field, but always check it:
- Date column — the value date of each line (required).
- Amount column — the credit (incoming) amount (required).
- Debit column — optional; use it only when your bank splits credits and debits into two separate columns.
- Reference column — optional; the bank's reference for matching.
- Description column — optional; the narration or details.
Money on every imported line is OMR to three decimals (for example 200.000).
Credits are positive; debits show as negative. WAQAF skips lines it can't read a
date or amount from, and tells you how many it imported and how many duplicates it
skipped.
You need a finance role with create — the Accountant or Finance Manager — to import a statement at all. If you can open the reconciliation page but see no upload area, your role can read the imported lines but not add new ones.
