Tags & segments
Organise donors with your own custom tags, and understand the major, lapsed and Zakat-only segments that group donors by their giving.
Tags and segments are two ways to group your donors. Tags are free labels you create and stick on individual donors — Ramadan campaign, board member, needs a thank-you call — whatever helps your team. Segments are the opposite: you don't assign them, WAQAF works them out from each donor's giving (major donors, lapsed donors, Zakat-only donors). Both then become filters on the donor list, so you can pull up exactly the people you want. This article covers creating and assigning tags, setting up the segments, and using them to filter.
Who can do this. Creating, assigning and removing tags needs a donor role that grants update — typically the Donor Manager or Donor Editor. A view-only role (Donor Viewer), or a Finance Manager or CEO opening a donor, can see the tags already on a donor but won't see the controls to change them. Setting the segment thresholds is a finance setting: it needs a finance role that grants update — the Accountant or Finance Manager — while anyone with finance read can see the current values. Tags
A tag is a short label you attach to one or more donors. Tags live at the organisation level — once you create Major gift prospect, it's there for everyone on your team to reuse, so the same idea isn't spelt three different ways. A donor can carry as many tags as you like, and each tag remembers how many donors it's on.
Assigning and creating tags on a donor
Where to find it. Open a donor from the list (Donors in the main menu), then look on the Overview tab for the Tags card.
Open the Tags card
On the donor's Overview tab, the Tags card lists the tags already on this donor as small chips. If your role can edit tags, an Add picker sits below them.
Add an existing tag
Open the Add picker and choose a tag from the list — it shows every organisation tag this donor doesn't already have. Selecting one attaches it straight away; the new chip appears in the card. You can type in the picker to narrow a long list.
Create a new tag
If the tag you want doesn't exist yet, choose Create new at the bottom of the picker. A small box opens — type the label and press Enter or select the create button. WAQAF creates the tag and assigns it to this donor in one go.
Remove a tag
To take a tag off a donor, select the small × on its chip. This only unassigns it from this donor — the tag itself stays available for everyone else.
Tag labels must be unique. If you try to create a tag whose label already exists for your organisation, WAQAF blocks it and tells you it's a duplicate — reuse the existing tag from the picker instead of making a near-identical second one. Labels are matched as a whole, so Donors 2024 and Donors 2025 are two distinct tags, as you'd expect.
Tags are an internal organising tool. They are never shown to the donor, never printed on a receipt, and don't affect any balance or report figure — they're purely for your team to find and group people.
Segments
Segments group donors by their giving behaviour, and WAQAF calculates them for you — there's nothing to assign by hand. There are three:
- Major donors — donors whose lifetime confirmed giving meets or exceeds your organisation's major-donor threshold.
- Lapsed — donors who have given before but whose last gift is older than your lapsed window (for example, no gift in the last 12 months).
- Zakat-only — donors who have given at least once and whose every confirmed gift went to a Zakat-class cause.
Because these are computed from real donations, a donor moves in and out of a segment on their own as they give — a lapsed donor who gives again stops being lapsed, and a donor who crosses the threshold becomes a major donor automatically.
Configuring the segment thresholds
Two numbers shape the segments: the major-donor threshold and the lapsed window. You set them once and they apply across the whole donor list.
Where to find it. Donors → Settings → Segments (the Segments section of the donor settings page).
Open the Segments settings
Go to your donor settings and choose the Segments section from the side menu. You'll see the two current values; new organisations start at OMR 1,000 for the threshold and 12 months for the lapsed window.
Set the major-donor threshold
Enter the lifetime-giving amount, in whole Omani Rial, at or above which a donor counts as major. For example, enter 1000 to make every donor whose lifetime giving reaches OMR 1,000 a major donor.
Set the lapsed window
Enter the number of months of silence after which a donor is treated as lapsed. The window must be between 1 and 120 months. A donor with no gift older than this window who hasn't given since is lapsed; a brand-new donor who has never given is not (lapsed means gave once and stopped, not never gave).
Save
Select Save. The new thresholds take effect immediately, so the next time you filter the donor list by segment it uses your figures. The button stays disabled until both values are valid.
The threshold is entered in whole Rial here for convenience, even though amounts elsewhere in WAQAF are shown to three decimal places (such as 200.000). There's no fractional threshold — major is a yes/no line, so whole Rial is enough.
Using tags and segments to filter the donor list
Both tags and segments become filters on the donor list, and they combine with the other filters — so you can, for instance, show only major donors who also carry your Ramadan campaign tag.
Filter by tag
If your organisation has any tags, a Filter by tag button appears in the filter bar above the list. Open it and tick one or more tags; a small number on the button shows how many you've selected, and the list narrows to donors carrying any of them. If no tags exist yet, the button simply isn't there.
Filter by segment
Use the Segment selector to pick Major donors, Lapsed or Zakat-only — or All donors to clear it. The list rebuilds using your saved thresholds.
Combine and export
Layer these with the search box, the recurring and portal switches, and the sort order. When your role allows exporting, the CSV reflects exactly the filtered view on screen. See The donor database.
Deleting a tag removes it from every donor at once. If you delete a tag, it comes off every donor that had it and disappears from the filter — there's no per-donor undo. Removing a tag from one donor (the × on a chip) is the safe, everyday action; deleting the tag entirely is the rare one. Neither touches the donor's giving history, which is never affected by tags.
