How WAQAF prints receipts, vouchers and reports on your organisation's letterhead — and how to control what they show and prove they're genuine.
Every official document WAQAF produces — a donation receipt, a payment voucher, a financial report — comes out on your organisation's own letterhead: your legal name and logo across the top, your address and contact details along the foot, and the figures laid out cleanly in between. You set the letterhead up once, and from then on every document looks consistent and official without you formatting anything by hand.
This section is the map for everything to do with documents and printing: how the letterhead is built, how the same document prints in Arabic or English, how you decide which details appear, and how anyone holding a printout can confirm it is genuine.
Who can do this. Reading and printing a document follows the finance role that already lets you see it — an Accountant, Finance Manager, CEO or Auditor (and the organisation Owner or Admin). Changing how documents look — the letterhead content, the display settings, the verification QR — needs a finance role that grants update, typically the Accountant or Finance Manager. Choosing who signs documents is a higher-level governance step reserved for the CEO, Owner or Admin. If you can't reach one of these, your role doesn't include it; see Members & roles.
A few things to know first
These ideas sit underneath everything here, so they help to know up front:
- One letterhead, every document. Receipts, vouchers and reports all print in the same letterhead format — the same masthead, the same footer, the same page numbering. You fill the letterhead in once and it flows everywhere automatically, including onto the emails WAQAF sends on your behalf.
- Documents are bilingual. The same receipt or voucher can be printed in Arabic or English, with the right-to-left or left-to-right layout handled for you. You pick the language at the moment you print.
- A printed document never changes after the fact. When you save a new letterhead detail or display setting, it affects new prints only — a receipt you printed last month keeps the wording it was produced with.
Where the letterhead is set up
The letterhead — your legal name, logo, address, contact details and social links — lives in one place: the letterhead profile at Finance → Settings → Letterhead. That single profile feeds every printed document and every org-branded email, so it's the first thing to fill in. A couple of related controls live nearby: the bank accounts shown in the footer come from the Bank accounts page, and the verification QR is a separate switch under finance settings — both are covered in the articles below.
