Balance privacy
Control which roles see full balance figures and which see only the redacted "enough / not enough" view.
Balances are sensitive. Knowing exactly how much sits in a fund, a category, or a bank account is something many organisations prefer to keep to a small circle, even among trusted staff. The Balance privacy settings let you decide, role by role, who sees the actual figures and who sees only enough to do their job. You'd use this when you want, say, an accountant to be able to record income and pay vouchers without ever seeing the running totals.
Who can do this. You need a finance role that grants approve — typically the Finance Manager or the CEO. Owners and admins can do it too. The Accountant and Auditor roles cannot change these settings (an accountant changing them could quietly grant themselves balance visibility, so the system blocks it). If you don't see the Privacy tab, your role doesn't allow it; see Members & roles.

What this setting controls
There are two separate switches per role, because the two kinds of balance are different things:
- Category & fund balances — the running total held in each spending category and each fund.
- Bank-account balances — the balance of each bank account on the books.
You can grant one without the other. For example, you might let a role see bank-account balances but not the per-category breakdown, or the reverse.
Owners and admins always see balances. They are not listed in the toggles and cannot be switched off here. This setting governs the finance roles (Finance Manager, Accountant, Auditor, CEO).
Full figures versus "enough / not enough"
When a role is not allowed to see balances, it doesn't simply get an error. Throughout the finance screens, that person still gets the information they need to work — they just don't get the number. The clearest example is when an accountant is preparing a voucher: instead of the exact category balance, they see a plain enough or not enough indication against the amount they're spending. The work flows; the figure stays private.
People who are allowed see the real amounts, shown in Omani Rial to three decimal places (for example, 200.000).
Setting it up
Open the Privacy tab
Go to Finance → Settings and choose Privacy from the settings menu. You'll see two groups of switches.
Read the current state
Before you change anything, the switches show who can see balances right now. If your organisation has never touched this tab, the defaults apply: the Finance Manager and CEO can see balances, and everyone else cannot.
Choose who sees category & fund balances
In the first group, Who can see category & fund balances, switch each role on or off. Turning a switch on lets that role see the figures; turning it off hides them and gives that role the "enough / not enough" view instead.
Choose who sees bank-account balances
Do the same in the second group, Who can see bank-account balances. This is independent of the first group — a role can be on for one and off for the other.
That's it — each change saves itself
There is no separate Save button. Each switch saves the moment you flip it, and a brief confirmation appears. The new visibility takes effect immediately for everyone with that role.
Your choices are authoritative — in both directions. Once you save a list of roles for a balance kind, that list overrides the built-in default completely. If you switch the Finance Manager off, Finance Managers stop seeing those figures even though they would have by default. If you switch the Accountant on, accountants start seeing them even though they normally wouldn't. The switches you see are the whole truth.
Why a button might be missing
Roles are multi-assignable and the system enforces visibility on the server, not just in the browser. So if a colleague says a balance "disappeared" or a button is "gone", it's usually this setting doing its job — their role isn't on the relevant list. It's not a bug. Check the Privacy tab before assuming anything is broken.
This setting only changes who can see figures. It never changes the figures themselves, and it never lets anyone post, edit, or delete a ledger entry they couldn't already touch — those are separate finance permissions.
