Income receipts
Print or save the bilingual donation receipt for a recorded entry — a single receipt or a whole batch — on your organisation's letterhead.
Every income entry you record can be turned into a tidy printed receipt on your organisation's letterhead. You'd do this to hand a donor proof of their gift, to file a paper copy, or to save a PDF for your records. The receipt is generated from the entry that is already in the ledger — you never re-key the amount, so what prints always matches what was recorded.
There are two ways to reach a receipt: open any single entry from the income ledger, or print straight after you've recorded a batch. This guide covers both, and explains exactly what appears on the page.
Who can do this. You need a finance role that grants read — the Accountant, Finance Manager, CEO, and Auditor roles all qualify (an owner or admin too). Anyone who can open an income entry can print its receipt. If you can't reach the income ledger at all, your role doesn't include finance; see Members & roles.
Where to find it. Finance → Income — then open any entry, or print from the summary that appears right after a bulk record.
Print a single receipt
Open the income entry
Go to Finance → Income to see the income ledger. Find the entry you want and press Receipt on its row. The entry's detail panel slides open, with a live preview of the receipt on your letterhead.
Choose the copy: Internal or External
At the foot of the panel you'll see an Internal / External switch. These are two versions of the same receipt:
- External is the clean, donor-facing copy. It shows the category and the gross amount only.
- Internal is the staff copy. It adds the detail your office needs — any admin fee and the net per category, who recorded the entry, the Shariah classification, and internal notes — and is stamped with an "INTERNAL COPY" ribbon so the two are never confused.
Staff printing defaults to the Internal copy. Switch to External before you print anything you'll hand to a donor.
The External copy can never show fees, net figures, the recorder's name, or internal notes — those are blocked from the donor-facing version no matter what your display settings say. So when in doubt, the External copy is always safe to give out.
Pick the language
Use the English / العربية buttons at the top of the preview to switch the whole receipt between the two languages. The heading, labels, dates, and layout direction all change together, so an Arabic receipt reads right-to-left as it should. Print one language, or print again in the other — your choice is per print.
Print or download
Press Print receipt to open your browser's print dialog, where you can send it to a printer or save it as a PDF. What you see in the preview is exactly what prints. Alternatively press Download PDF to save the file directly.
Print a batch of receipts
When you record several entries at once with Bulk record, a summary appears as soon as they're saved, offering receipts for the whole batch.
Open the batch summary
After a successful bulk record, the summary lists how many entries were created and shows a combined receipt preview. As with a single receipt, you can switch the English / العربية language at the top.
Print the combined receipt
Press Print combined receipt for one document that lists every entry in the batch — one line per allocation, showing the reference, source, category, and gross — with a grand total at the foot. This is the quick way to file the whole batch on a single page.
Or print each entry on its own
Below the combined preview there's a Print receipt button for each entry in the batch, labelled with its reference and amount. Press one to print that single donor-facing receipt. They print one at a time, on purpose — each button is its own click, so your browser won't block a pop-up. Use these when each donor needs their own copy.
What appears on a receipt
Every receipt is built on your organisation's letterhead, so it carries your branding automatically:
- Your logo and full legal name in the masthead, with a coloured header rule.
- The internal receipt number (
DON-…) and the date, top-corner. - The donation amount in OMR to three decimals (for example
200.000), with a per-category breakdown and a total. On the External copy this is the gross only; the Internal copy adds the admin fee and net. - The source and channel of the gift, where your settings allow.
- Your bank accounts, contact details, and social links in the footer — drawn from your letterhead profile, so they stay consistent across every document.
- A validation QR code in the footer (when enabled), which any external party can scan to confirm the receipt is genuine on your public verification page.
The QR code is an organisation setting. It's on by default. An administrator can turn it off in finance settings, which only affects newly printed receipts — any receipt already printed keeps verifying. A receipt never changes the entry it's printed from — it's a read-only document. If the underlying income was recorded wrongly, fix it with a reversing entry (income is never edited or deleted) and print a fresh receipt from the corrected record. See Correcting or reversing income.
