WAQAF

The dashboard

Find your way around the WAQAF dashboard — your home screen, customisable widgets, the app launcher, the sidebar, and switching between organisations.

When you sign in, WAQAF drops you on your organisation's home page — a tidy grid of cards (we call them widgets) showing the work that matters to you, with the left sidebar alongside for getting anywhere else. This page walks you through what's on that screen, how to make it your own, and how to move between charities if you belong to more than one.

Who can do this. Everyone who can sign in has a dashboard — you don't need any special role to read it or to rearrange your own widgets. What the dashboard shows you, though, follows your role: a finance role surfaces money widgets, a website role surfaces the site, and anything your role can't reach is simply hidden. That's the whole point — see Why can't I see a button?.

Your home screen

There is one dashboard home, the same screen for everyone, but it's role-aware: the widgets you see — and which ones appear by default — depend on the role(s) you hold in the organisation you're currently in. WAQAF picks a sensible starting layout for your role; you can then tailor it (see Make it your own below).

The widgets you might see are:

WidgetWhat it showsWho sees it by default
Quick actionsShortcut buttons to common tasks (record income, new voucher, view reports, and so on)Everyone — the buttons that appear depend on what your role can do
Finance snapshotFund balances, income this month, expenses this month, admin feesA finance role
Pending approvalsVouchers and category changes waiting on your approval stepA finance approver (e.g. Finance Manager or CEO)
Recent activityThe latest income recordedA finance role
Projects & membersA count of your projects and membersA website role
AppsThe launcher tiles for the modules your organisation has switched onEveryone
ReportA saved financial report, embedded on the home screenA finance role (added from the customise panel)

Balances are protected. In the Finance snapshot, the fund-balance figure only appears if your role is allowed to read balances (typically Finance Manager, CEO or Auditor). If yours isn't, that tile is hidden and you'll still see income and expenses for the month — never a balance you're not cleared to see. The check is enforced on the server, not just hidden in the screen.

Make it your own

You can show or hide widgets, reorder them, and embed saved reports. Your layout is saved to your own account — changing it never affects your colleagues, and each person on the team can arrange the home screen to suit their job.

Enter customise mode

Click Customize in the top-right of the dashboard. The widgets gain small controls for rearranging, and the action buttons change to Add widget, Reset to default, Cancel and Save.

Reorder and hide

Use each widget's Move up / Move down controls to change the order, and Hide to remove one from view. Hidden widgets aren't deleted — you can add them back at any time.

Add widgets and shortcuts

Click Add widget to open a side panel. It has three parts:

  • Widgets — re-add any widget your role can see that you've hidden.
  • Quick-action shortcuts — toggle individual shortcut buttons on or off inside the Quick actions widget.
  • Reports — pick one of your saved reports to embed as a live widget, and choose its period (this month, this quarter, and so on) and width.

You only ever see the widgets and shortcuts your role is allowed to use, so you can't add something you couldn't open anyway.

Save (or reset)

Click Save to keep your layout, Cancel to discard the changes, or Reset to default to return to the standard layout for your role.

The app launcher

The Apps widget on your home screen — and the full Apps page in the sidebar — show your organisation's modules as tiles. Each tile is in one of three states:

  • Active — switched on for your organisation. The tile opens the module.
  • Available — built, but not yet switched on. If your role allows it, the tile offers to activate the module; otherwise it's just shown as available.
  • Soon — on the roadmap but not built yet.

This is the quickest way to jump straight into a module, and a clear picture of what your charity has enabled. To see everything, open Apps from the sidebar or click Browse all apps in the widget.

The sidebar

The sidebar runs down the side of every screen and groups WAQAF's features by module. The standard groups are:

  • Start — back to this home screen.
  • Apps — the launcher described above.
  • AI Chatbot — a built-in assistant you can ask about your charity's data.
  • Website — edit your charity's public site (pages, programmes, news, library, settings).
  • Finance — income, expenses, requests, settings, balance and reports.
  • Donors — the donor list, bank transfers, recurring gifts and reconciliation.
  • Communication — WhatsApp messaging, where enabled.
  • Join requests — approve people asking to join (for member managers).
  • Organisation settings and Account settings.

The sidebar hides what your role can't reach. You only see the module groups your role can open — so a website-only editor won't see Finance, and someone with no finance role won't see the Donors group. A whole missing section is expected, not a fault. The small + quick-add next to Income and Expenses likewise only appears if your role can create finance records. The full explanation is in Why can't I see a button?.

You can collapse the sidebar to just its icons using the panel toggle at the top, which gives the working area more room; hovering an icon shows its label.

The organisation switcher

WAQAF is multi-tenant: each charity is a separate organisation, and every record — every donation, voucher and balance — belongs to exactly one of them. You can be a member of more than one organisation, and even hold different roles in each.

  • The dashboard always works inside one organisation at a time — the active organisation, shown by its name and logo at the top of the sidebar. Everything on screen is scoped to that one charity; you never see another organisation's data.
  • If you belong to more than one organisation, that name has an up/down arrow and opens a menu — the organisation switcher. Choose another organisation and WAQAF reloads with that charity's data and the roles you hold there.

Data is fully walled off per organisation. Switching is the only way to act in a different charity — there is no cross-organisation view, by design. Because your role can differ between organisations, a button you have in one may be hidden in another. If something is missing, checking you're in the right organisation is always worth doing first.

If the organisation name at the top has no arrow and won't open, you belong to only one organisation — there's simply nothing to switch to.

Finding things

WAQAF doesn't have a single site-wide search box. Instead:

  • Use the sidebar to navigate to the module you need, then the search and filter fields inside each list (income, expenses, donors, members, and so on) to narrow it down to the record you're after.
  • Use the AI Chatbot in the sidebar as a quick way to ask questions about your organisation's data in plain language.
