Build your website's public library — organise publications and reports into categories, upload PDFs with bilingual titles, and publish each one when it's ready.
The library is the part of your public website where visitors can browse and download your publications — annual reports, financial statements, policies, brochures and the like. You group documents into categories, upload a PDF for each one with a title in both English and Arabic, and publish the ones you're ready to share. You'd work here whenever you have a new report to put online, or you want to tidy how your existing documents are organised.
There are two separate places to know about. The Library page holds the heading and intro text shown at the top of your public library — the wording visitors read first. The Library documents screen is where the real work happens: the categories and the documents themselves. This guide covers the documents screen, and points you to the page settings at the end.
Who can do this. Managing the library is part of your website permissions. A Site Manager can do everything here — create, edit, publish and delete. A Site Editor can create and edit documents and categories but cannot publish or delete them. An owner or admin can do everything too. If a button described below is missing, your role doesn't include that action — that's by design, not a fault. See Members & roles.
Where to find it. Your website → Library → Library documents. The plain Library entry opens the page heading; the documents live one level in.
How categories and documents fit together
Every document belongs to one category. A category is just a labelled group — "Annual reports", "Policies", "Financial statements" — with a title in both languages and its own ordering. So before you can upload a document, you need at least one category to put it in. The library screen shows your categories as a list, each with its documents nested underneath.
Create a category
Open the new category form
On the Library documents screen, press New category at the top right. A short form appears.
Fill in the slug and titles
Enter a Slug — a short web-friendly name using lowercase letters, numbers and single
hyphens, such as financial-reports. This becomes part of the address and can't be
changed later, so pick something stable. Then fill in the Title in both English and
Arabic; both are required.
Slugs must be unique within your site. If you choose one that's already taken, you'll see "Something with this slug already exists" — pick a different one.
Create it
Press Create. The category appears in the list, ready for documents. New categories start out visible.
Add a document
Open the new document form
Find the category you want and press New document beneath it. The upload form opens inside that category.
Enter the slug and title
As with a category, give the document a Slug (lowercase letters, numbers and hyphens,
e.g. annual-report-2024) — again, this is fixed once created. Add the Title in both
English and Arabic.
Upload the PDF
Under PDF file, drag a file onto the box or click to choose one. The library accepts PDF files only — that's what visitors download. When the upload finishes you can use View to check it, or Replace to swap in a different file. A document must have a PDF before you can save it.
Set the file name and an optional cover
File name is the label shown on the public download link — for example
annual-report-2024.pdf. It's filled in from the file you uploaded, but you can edit it
to read however you like.
Cover image is optional. If you add one, it appears as a thumbnail next to the document. Leave it blank and the document simply shows without a picture.
Create the document
Press Create. The new document appears under its category marked Draft — it is not yet visible to the public. Publishing is a separate, deliberate step (below).
A new document is always created as a draft. Uploading it does not put it on your website — visitors won't see it until you publish it. This lets you prepare a document fully before it goes live.
Publish or unpublish a document
Each document carries a status badge — Draft or Published — and, if your role allows, a Publish / Unpublish button on its row.
Find the document
On the Library documents screen, locate the document under its category. A grey Draft badge means it's hidden; a green Published badge means it's live.
Toggle its visibility
Press Publish to make a draft live, or Unpublish to hide a published document again. The badge updates straight away, and you'll see a short "Visibility updated" confirmation.
Three things must line up for a document to actually appear on your site. The document must be published, its category must be visible, and your website itself must be published. If a document is published but you still can't find it on the live site, check that its category isn't hidden and that the site is live. See Publishing & preview.
Edit a document
Press Edit on a document's row (or View, if your role is read-only) to open its detail page. Here you can change the Title, move it to a different Category, adjust its Sort order, Replace the PDF, edit the File name, or change the Cover image. The slug stays fixed — it isn't editable. Press Save to keep your changes; the document's published status is unaffected by an edit.
Order and hide things
- Sort order — both categories and documents have a Sort order number (a whole number; lower numbers come first). Use it to control the order visitors see, rather than relying on upload order. Edit a category to set its order, or open a document to set its own.
- Hiding a whole category — edit a category and switch off Visible on the site to take all of its documents off the public library at once, without unpublishing each one. A hidden category shows a Hidden label in your dashboard. Switch it back on to restore everything that's still published inside it.
Delete a document or category
Deletion is permanent — there's no undo, so reach for Unpublish or Hidden first if you only want to take something off the site temporarily.
Deleting a category also deletes every document inside it. When you delete a category the confirmation tells you how many documents will go with it (for example "Its 3 documents will be deleted too"). Once confirmed, the documents and their files are gone for good. If you only want to take the documents offline, hide the category or unpublish the documents instead.
To delete a single document, press Delete on its row and confirm. To delete a category, open Edit category, press Delete category, and confirm. Both actions need a role that grants delete (a Site Manager, owner or admin) — a Site Editor won't see these buttons.
The library page heading
Separately from the documents, the Library page controls the heading visitors read at the top of your public library — an eyebrow, a headline and a subtitle, each in both English and Arabic. Open Your website → Library (the plain entry), fill in the wording, and press Save library page. This is just the page's wording; it doesn't change which documents appear.
