Annual giving statements

Generate and print a donor's giving statement for a single year or their whole lifetime, on your organisation's letterhead.

A giving statement is a tidy, dated summary of everything a donor has given you — either for one calendar year or across their whole history with your organisation. You'd produce one when a donor asks for a record of their giving (for their own files, or to claim a deduction), when you're thanking a long-standing supporter, or whenever you want a single presentable page that lists their gifts and the grand total. It comes out on your organisation's letterhead, ready to save as a PDF or print.

Who can do this. You need a role that can read donors — typically the Donor Viewer, Donor Editor or Donor Manager, and also the Finance Manager and CEO (and the organisation's Owner or Admin). If you can open a donor's profile, you can produce their statement. If you don't see the Donors area at all, your role doesn't include it; see Members & roles.

Where to find it. Donors → (open a donor) → Giving tab. The statement controls sit in the top-right of the giving history, just above the table of gifts.

What the statement includes

The statement lists every confirmed gift in the chosen period, one row each, with:

  • the date of the gift;
  • the cause it was directed to (the project or campaign), or a dash when it wasn't tied to one;
  • the amount, in Omani rial to three decimal places — 200.000, 12.500;
  • the gift's reference number.

Below the rows it prints a total for the period. The donor's name and the period appear at the top, under your organisation's logo and legal name.

Only confirmed giving is counted — gifts that have been verified, cleared or posted to the ledger. Anything still pending review, or that was rejected or reversed, is left out, so the total always reflects money that genuinely arrived.

Producing a statement

Open the donor and go to the Giving tab

From Donors, find the supporter and open their profile. Select the Giving tab to see their full history of gifts. The statement controls — a period selector and a Download statement button — sit at the top-right, above the table.

Choose the period

The selector offers All years (the donor's lifetime total) and a separate entry for each calendar year in which they actually gave. Pick All years for a complete lifetime statement, or a single year — say 2025 — for that year alone.

Years with no giving don't appear in the list, so you can only ever pick a period that has something in it.

Click Download statement

This opens a new window with the statement laid out on your organisation's letterhead at A4 size — logo and legal name across the top, the donor's name and the period, the table of gifts, and the total. From there you can send it to a printer or save it as a PDF.

Use your browser's print dialog from the new window. To keep a copy, choose Save as PDF as the destination instead of a printer. Close the window when you're done.

The statement is produced in the language you're currently using WAQAF in — open WAQAF in Arabic and you'll get an Arabic statement, in English an English one. Switch your interface language first if the donor needs the other one.

If the Download statement button is greyed out, the donor has no confirmed giving in the selected period — there's nothing to put on the statement. Try All years, or pick a year you know they gave in.

A read-only document

Producing a statement only ever reads the donor's giving — it never changes a balance, a gift, or the ledger. You can generate the same statement as many times as you like, and the figures always match what's recorded against the donor. The letterhead it uses is the same one set up for your receipts and reports; if a logo or your legal name looks wrong, that's adjusted under Documents & printing.
