Donors
The donor relationship area — your donor database, individual profiles, giving statements, recurring pledges, bank transfers, and the settings behind them.
Donors is where everyone who has ever given to your organisation is gathered in one place, so you can recognise them, look after them, and answer questions about their giving. Where Finance is about the money, Donors is about the people behind it: who they are, what they have supported, how often, and how to reach them.
You'd come here to look someone up before a thank-you call, pull together a person's giving for the year, review a bank transfer that has just come in, keep an eye on recurring pledges, or tidy up duplicate records. Each of those has its own short guide; this page is the map.
Who can do this. The Donors area is role-gated, and it has two layers. To see the area at all you need a role that can read donors — a Donor Manager, Donor Editor or Donor Viewer, and the Finance Manager and CEO can see the donor list too. Seeing a donor's personal details (email, phone) is a separate permission: only roles that grant read personal data — the Donor Manager and Donor Editor — see those; for everyone else the contact columns read Hidden. Changing donor records (creating, editing, merging, anonymising, exporting) needs the matching donor permission, so a Donor Viewer can look but not touch. If you don't see Donors at all, your role doesn't include it; see Members & roles.
Where to find it
Open Donors from the main dashboard menu. Inside, a sub-menu runs along the area: All donors, Bank transfers, Recurring, Reconcile and Settings. Which of these you see follows your role — for example the bank-transfer and recurring views are part of finance work, so they need a finance role, while the donor list itself only needs a donor role.
A few things to know first
Two ideas sit underneath everything in this area, so it helps to know them before you start:
- Personal data is protected on its own. A person can appear in the donor list — name, lifetime giving, number of gifts — while their email and phone stay hidden behind the read personal data permission. That is deliberate: it lets a viewer see the shape of your donor base without exposing contact details. Where you see Hidden in a contact column, it is your role, not a missing record.
- Money still lives in the ledger. The figures you see on a donor — lifetime given, a
giving statement, a recurring cycle — are drawn from the recorded income in Finance, shown
in Omani Rials to three decimals (
200.000). Donors never changes the ledger on its own; it reads from it, and the few actions here that do touch money (approving a bank transfer, reconciling a recurring cycle) post through the normal finance path, so they can be reversed but never quietly deleted.
Two actions in this area cannot be undone: merging one donor into another, and anonymising a donor. Both keep the donations for accounting, but they permanently rewrite the donor record itself. They have their own guide — read it before you use them.
