Income

Record and manage the money your organisation receives — bank transfers, cash, cheques, and other off-platform gifts.

Income is every gift your organisation receives. This area of Finance is where you record money that arrives off the platform — a bank transfer, cash handed in at the office, a cheque, an in-kind gift, or a donation that came in over WhatsApp — and where you review, correct, and print receipts for what has been recorded. Each receipt becomes a dated entry in the income ledger, posted to your accounts so your balances stay correct.

Who can do this. Recording income needs a finance role that grants create — typically the Accountant or the Finance Manager. Anyone with a finance read role (including the CEO and the Auditor) can view the ledger and print receipts. Correcting or reversing a posted entry needs the approve capability — the Finance Manager or CEO. If you don't see these actions, your role doesn't allow them; see Members & roles.

Where to find it

Open Finance → Income from the dashboard. You'll land on the income ledger, with the Record income, bulk, and import actions in the toolbar above the list.

Online card donations are handled for you

If your organisation has a public donation website, gifts paid online by card come in automatically. When a donor completes a card payment, WAQAF records the income, posts it to your accounts, and adds it to the same income ledger — you don't re-enter it by hand. Those rows appear with an online channel and are matched to the donor.

This Income area is therefore for the money that doesn't arrive that way: the bank transfers, cash, cheques, and other gifts your team receives directly. Recording them here keeps your ledger complete, so the figure in WAQAF matches the money you actually hold.

Don't record an online card donation a second time by hand — it is already in the ledger. Recording it again would double-count the money. If you think an online gift is missing, check the ledger filters first, then ask for help before re-entering it.

How income recording works

A few principles run through everything in this section:

  • Money is in Omani rials, to three decimals. Amounts are shown like 200.000 (two hundred rials) — the last three digits are baisa. There is no rounding to whole rials.
  • Every receipt gets a reference. WAQAF assigns each recorded gift a unique reference (a DON- number). You can also enter your own external reference — the bank transaction number, the cheque number — and WAQAF will block a duplicate, so the same transfer can't be recorded twice by mistake.
  • Each gift is split into categories. When you record income you say which category (or categories) it belongs to — Zakat, a specific project, general giving — and the amounts must add up to the total. This is what lets your reports break the money down later.
  • Nothing is ever deleted. A posted entry is permanent. If something was recorded wrongly, you don't delete it — you post a reversing entry that cancels it out, leaving an honest trail of what happened. See Correcting or reversing income.
  • Balances are sensitive. Whether you see actual balance figures depends on your role. A Finance Manager, CEO, or Auditor sees the numbers; an Accountant may see only whether a category has enough, never the amount.
